How to Export Files from Gmail & Others using MBOX

Moving to a different email provider? Or maybe you need to export an archive for a new listserve?

In both cases, the best plan is to export your files from Gmail (Yahoo, etc.) as an MBOX file. This is an old Unix file type that’s still used for storing email across both PC and Mac.

Export an MBOX file from Gmail

Gmail is easy to export. It has its own export function, unlike Yahoo Mail.

  • To start an export, go to the Google Takeout page.
  • The window should look like the example below.

    If you’re exporting to create a complete email archive, check the box shown to include all of your emails. Then, click Next step to choose the file type and destination.
  • If downloading emails just from a mailing list, first make sure they are in the same Gmail Label.
  • Once the emails are labeled, click the All Mail data included button.
  • In the Mail Content Options window, uncheck Include all messages in Mail.
    Then, place a checkmark next to the Label name of your mailing list.
  • Click OK.
  • Click Next step to choose the file type and destination.
  • When done, click Create export.

The archive will be sent to your chosen destination once complete. You can check Export Progress in the same Google Takeout window.

Export a MBOX file from Yahoo Mail

Unfortunately, Yahoo Mail doesn’t have a native way to export email files.

Instead, you will need to download your email to a different software that can create an MBOX file. Options include Outlook, Thunderbird, or MacMail.

Check out this Yahoo Help page for instructions. Once your email is downloaded, use the new software to then create an MBOX file.
